How to use the ticket price calculator
- Add your fixed costs: venue, talent, staff, insurance and marketing. Add a contingency for surprises.
- Enter the profit you want (0 to just break even), any signed sponsor or grant money, and how many paid tickets you expect to sell.
- Add what each attendee costs you, like food, wristbands or gifts, and choose whether you absorb ticket fees or pass them to buyers.
- Read your break-even price and the price that hits your profit. Then test a ticket price to see your profit if sales come in lower or higher.
Fees start at TixFox's $0.39 per ticket and US card rates of 2.9% + $0.30 per order. They're editable, so the calculator works for any ticketing platform. For a full walkthrough, read how to price event tickets.
Ticket pricing: common questions
How do I calculate the right ticket price for my event?
Add your fixed costs, a contingency and the profit you want, take away any signed sponsor money, and divide by the paid tickets you expect to sell. Then add your cost per attendee and the ticket fees. With $6,000.00 in costs, a $600.00 contingency, $1,000.00 profit, $1,000.00 from sponsors and 250 tickets, each ticket must cover $26.40, and the price that hits your profit is $32.02.
What is a break-even ticket price?
It's the lowest price that covers all your costs with nothing left over. If you sell the tickets you expect at that price, you pay for the venue, staff, attendee costs and fees, and end at zero. In the example above, the break-even price is $27.90 with fees absorbed.
Should I pass ticket fees to buyers or absorb them?
Passing fees keeps your full ticket price and adds the fees at checkout: a $25.00 ticket costs the buyer $26.46 with TixFox and US card rates. Absorbing them shows buyers one clean price, but you keep less: $23.59 of a $25.00 ticket. Switch between the two settings above to see the difference for your event.
How many tickets do I need to sell to break even?
Divide what you need to cover (fixed costs plus contingency, minus sponsor money) by what each ticket leaves you after fees and attendee costs. At $35.00 in the example, you keep $33.29 a ticket, so you break even at 192 tickets.
Does this calculator work for other ticketing platforms?
Yes. The fees are editable. They start at TixFox's $0.39 per ticket and US card rates of 2.9% + $0.30 per order, and you can change the per-ticket fee, the percentage fee and the card rates to match any platform.
